How Splinter Sound handles enquiries and information shared through this website.

Who To Contact
Splinter Sound Studios is a sole trader business responsible for this website and the enquiries submitted to the studio. For questions about your information, contact info@splintersound.com.
Information In An Enquiry
The form asks for your name, email address, chosen service and project details. You can also include your artist name, number of tracks, deadline, reference records and a private audio link. Share only what is relevant to the project, and only audio you have permission to share.
Why It Is Used
Enquiry information is used to reply, discuss your requirements and prepare a quote. When you ask about working together, this supports steps towards a service contract. Technical request information helps operate and secure the website, a legitimate interest in preventing abuse and keeping the service available.
Hosting And Delivery
OVHcloud hosts the website, private booking records and studio email service. General enquiries are delivered to the studio inbox. Production requests and bookings are also stored in a private area on the studio’s server, outside the website directory, with a separate studio dashboard login. Encrypted backups are stored with Hetzner. These providers process information as part of providing their services. Google processes the studio calendar information described below.
Retention
We keep correspondence while an enquiry or project is active, then review it against any ongoing project, accounting or legal need. Backup copies follow the studio’s backup retention schedule. The form’s abuse controls use a short time window rather than saving message contents.
Cookies And Third-Party Content
The website uses an essential session cookie for booking forms, private session access and the studio dashboard. This cookie is not used for advertising.
The embedded Spotify playlist loads from Spotify when it comes into view. Spotify handles playback and interactions with its player under its own privacy policy. Links to Spotify, Instagram, Facebook and other services take you to separate websites with their own privacy practices.
Your Information Rights
You can contact the studio to ask about access, corrections, deletion, restriction or portability, where these rights apply. You can also object to processing based on legitimate interests. You may raise a concern with the UK Information Commissioner at ico.org.uk.
Production Bookings And Payments
The booking system stores your name, email, project details, requested date, booking status, any assigned discount code and agreed price, terms acceptance and change history. When the studio verifies a bank transfer, it records the amount, method and transaction reference. It does not collect card details or bank login details. Access is limited to the studio dashboard and your private session link. Keep that link private.
Information is used to arrange and deliver the session, administer payments and respond to changes. Booking notifications are sent through the studio’s existing email service. Bank transfers are processed by the banks involved.
Calendar downloads and the studio calendar include your name, session time and booking reference, without your email address or project details. Importing a calendar file shares those event details with the calendar provider you choose. Confirmed bookings and unavailable dates are mirrored to a private Google calendar owned by the studio, shared only with authorised studio users. These users may display that shared calendar in Apple Calendar. Booking records are retained while the booking is active and as needed for accounting, disputes and legal obligations.
